Processing of customer data
In order to provide its services as effectively and efficiently as possible and to meet its customers’ needs, EP NL processes customer data.
When processing this customer data, EP NL safeguards its customers’ privacy and complies with laws and regulations. EP NL has registered its processing of customer data with the Dutch Data Protection Authority. EP NL considers it important to set clear rules for the use of customer data that EP NL obtains. These rules are set out in this privacy statement. EP NL reserves the right to make changes to this privacy statement. If EP NL amends this statement, it will inform the Customer as soon as possible by posting the proposed amendments in advance and explicitly on the EP NL website.
Customer data obtained by EP NL include name, address, place of business, telephone number, email address, consumption data, bank account number and payment data. EP NL obtains all this data after having obtained the Customer’s consent.
How does EP NL process customer data?
EP NL processes customer data in accordance with legal requirements, as described in the General Data Protection Regulation. This means, among other things, that the data are processed carefully and properly. Furthermore, customer data will only be processed if – in view of the purposes for which the customer data was collected – it is adequate, relevant and not excessive. Special personal data such as data about your health and criminal past or ethnic data will not be processed by EP NL. In addition, customer data will not be kept longer than necessary for the purposes for which they were collected. EP NL also regularly checks whether the customer data it processes are still correct.
EP NL applies appropriate technical and organizational measures to protect customer data. This allows EP NL to guarantee a high level of security. Moreover, EP NL regularly checks whether the security measures it has taken are still adequate. If this is not the case, EP NL immediately takes additional measures.
For what purposes does EP NL process customer data?
EP NL processes customer data in order to carry out its activities in a corporate context. This involves activities such as:
- The supply or provision of electricity, gas and any other services.
- The collection of receivables and the payment of receivables.
- Calculating and recording income and expenses and making payments.
- Cooperating in the levy and collection of taxes imposed by the government, including municipal, provincial and water board taxes
- Handling disputes with clients and conducting audits
- Carrying out (or having carried out) (direct) marketing activities, statistical research and market research, including by sending mailings and contacting customers by telephone.
What rights does the Client have?
The Customer may ask EP NL whether EP NL processes the Customer’s personal data. In that case EP NL will inform the Client as soon as possible – no later than four weeks after the request – whether this is the case. If EP NL processes the Customer’s personal data, EP NL will in any case provide the Customer with an overview of the Customer data being processed, a description of the purpose of the processing, information about the origin of the Customer data and an indication to whom the Customer data may be made available.
In addition, the Customer may ask EP NL to inspect the Customer Data and request that it correct, supplement, delete or block the Customer Data if it is factually inaccurate, incomplete or irrelevant for the purposes of processing, or violates laws or regulations in any way. The Customer’s request must contain the changes it wishes to make. EP NL will then inform the Customer as soon as possible – no later than four weeks after the request – with reasons whether the request can be accepted and will carry out any acceptance as soon as possible.
In special cases – such as when the Client objects to EP NL’s use of its customer data for direct marketing purposes or EP NL’s provision of its customer data to third parties – the Client may object to such use of customer data by EP NL. EP NL will immediately discontinue the use of customer data for such purposes.
Vacancies
When you apply via our website or via LinkedIn, we always collect your name, e-mail address, date of birth, address, telephone number, CV and the answers to a number of questions we consider relevant to the vacancy. Any conversations you have with our staff via email about a vacancy are also collected.
Why do we process this personal data?
When you apply for a job, we collect this data based on our legitimate business interests, particularly to hire the right person for the position and to help you if you have questions about the advertised jobs or the company. Further, we use it to invite you for an interview or to let you know that we have found another candidate for the position.
How do we handle your personal data collected in our recruitment process?
We will retain your personal data only for the period necessary to fulfill the purposes for which it was collected or processed, unless we need to retain it for tax or legal reasons. In practice, this means that if you are hired, the data related to your application will go into your personnel file. If you are not hired, we will keep your personal data for one month after you are rejected, unless you give us permission to keep it longer (no later than 6 months), for example, to be included in a talent pool.
We will not share your personal data with third parties unless we are required to do so by law or we have obtained your consent to do so.
You have the right to obtain from us: information about how we process your personal data, as well as a copy of the personal data we have stored about you. In addition, you have the right to correct, update, block or delete your personal data in our records, as well as to data portability of your personal data to a third party, and to report misuse of your personal data.
